How to start organizing your daily tasks.

Why you are here

You are here because you are not type of person who just go through life. You want to control your life, improve it. And you are upset when you don't control it. You see chaos. You forgot something, missed deadline, or don't remember details of some task.

Or you told yourself: 'I will remember this, I don't need to write it down' and then you forgot.

I know it because I was in all of these situations. I remember when things started pilling up. I had to manage my private life, college and work life.

I'm not going to lie that I have definitive answer for that. It's still journey for me, and I'm gaining experience. But I can share with you what worked for me and why I decided to build Constito to help with organization.

Seeking help

You may have already started looking for tools that could help you with organization.

There is so much of them that it's hard to decide.

Of course each tools has it pros and cons. I tested dozen of possible solutions and I will try to save your time to pick the best one.

What you really need?

Before we look at tools we need to define what we really need.

After few years of fighting with my chaos I noticed that I actually need help with:

  1. Taks management - lots of things to do, hard to remember all of that in my head
    1. Good but simple task management should help with describing: what is this task, when, where, optionally description
      1. E.g:
        What: Homework, When: Next Week
        What: Fix car, When: call mechanic to pick date, Description: Fix this weird noise in wheels
        What: Buy new t-shirt
  2. Longer text - good for writing journal, making notes, help with research. Basically one long document.

Other useful characteristic is to try to have as much as possible in one place. Because it's easier to manage and search information.

For some time I was using simple text files to note things. They were scattered through folders. It was a nightmare to find something and manage it.

1. Task management

Kanban board is one of the ways that helps with task management. It helps you to track what needs to be done, what you're already doing and what is done. You can focus on just one task without loosing your overall situation.

2. Longer text

Simple but powerful text editor which helps with formatting text. Formatting is important because it helps you design your text and read it. It also help with searching information when you can just look at specific heading.

Tools

Start simple. Pen and paper

If you're already starting and don't have clear requirements then just start with pen and paper.

Pen and paper is cheap, you probably already have it in your home so you can start today.

It's flexible, you can write and then make sketch or drawing.

You can also buy a diary. It will help you to be up to date with your tasks. And for many people it's enough.

Disadvantage of paper is that there is no search. Also, you can't copy and paste.

In addition, you need discipline to keep things in some format so you could actually find things when needed.

Digital

You could use digital software. One of this is free text editor installed with your operating system like notepad.

Here is the example how Louis Rossmann (who own a business which repair MacBooks and have over 2 milion subscribers on YouTube) manage his daily tasks using just a notepad

Another option is to use cloud services.

There are two popular options like Trello or Todoist. They are free but have paid plans.

Both of these services are online first meaning they are designed to work with internet connection (but some of them have offline option).

Also, they focus not only on personal organization but also collaboration with others. It means that they have features that helps you to plan and manage projects with other people.

It also means that you will not use part of features created only for team collaboration, but they still will be there.

You can use them for you personal organization and that is fine because they are proven and great.

But you have to remember few things:

  1. They store your data online. It means that your data is on someone else computer. It has pros and cons.
  2. If they close their services then you cannot use them anymore

Offline

Other good and free tools are Obsidian and Logseq.

They look great have a lot of features, they work offline so your data stays on your device.

But my feeling about them is that they have too much features and are slightly complex.

You might feel smart or productive using them but is it really productive? You tell me. They are free so nothing stops you to try.

Also, personally I don't like idea that almost "everything" is kind of paragraph.

They are flexible that's true, but don't specialize. It might work for some people, but I wouldn't say that they are the best tools to manage tasks. They are good for writing and linking text so it might be good for researching.

That was not something I was looking for tracking things that need to be done.

And don't get me wrong. They are awesome tools. A lot of people use them. But in my opinion there is more substance over form. I wanted something simple yet powerful.

That's why Constito is created

Constito is designed to work for one person. It's your organizer to organize your life. Not whole team working on one product. It specializes to be the best personal organizer.

It doesn't give you flexibility of Obsidian or Logseq but this limitations make it actually simpler.

You want to manage your tasks? You got kanban board out of the box where you can clearly see tasks and create todo lists.

You want to write something longer (journal, script, research, notes)? It comes with text editor that allows you to write notes.

It's offline it means that only you have access to your data. There is no telemetry. Internet connection is not required with exception for checking for updates. Even in case of bankruptcy, Constito will work the same because you have it on your device, and you still have access to your data.

Do you want find something in note? Use search. Do you want filter tasks? Filter them by title or due date.

Also, it's lightweight and fast.

This is my goal. To help with organizing personal life. To bring order to the chaos.
